Feature Request: Email Notifications for Incoming Client Messages

I need email notifications when clients message me through the portal. Currently, I can only see incoming messages if I'm logged into the app or have browser notifications enabled on my computer. When I'm away from my browser, I have no way to know a client has messaged me until I log back in. An email alert for incoming messages would help me respond promptly even when I'm not at my desk.

Just One Portal Link

I would like for my clients to be able to give my clients ONE portal link, not a different link for each session type. I have clients that do some in-person and some virtual—it is aggravating to them to have to keep track of multiple links. It would also be nice for linking with my website. I have a “Schedule a Session” button that I want to connect to a general portal. It’s clunky to have to have multiple buttons depending on the session type. I think it will make my website seem unprofessional.

Allow clients to view progress analytics tied back to their treatment goals in the portal!

It would be helpful if there was an optional feature to allow clients to view progress analytics in the Client Portal that connect their sessions to their treatment goals (the Golden Thread). This would allow clients to check in on their therapeutic progress and see how their sessions relate to their goals over time. It is also a way for the client to be able to measure how effective therapy is over time. I am a brief therapist and this could be an amazing tool to help make me a better therapist!

Feature Request: Couples/Family Portal Access Parity

Summary: Enable couples and family therapy clients to access their individual client portals with the same functionality and features available to individual therapy clients. Current State: Individual therapy clients have full access to their client portal, where they can view session summaries, complete forms, access resources, manage account settings, view billing history, and self-schedule appointments. Requested Change: Extend comparable portal access to clients in couples and family therapy contracts. Each family member should be able to access their own portal view, similar to individual clients, to: View session summaries and progress updates Complete and track assigned forms Access practice resources and announcements Manage their own account preferences View billing history and account balance Self-schedule appointments for the couple/family Rationale: Consistency: Removes confusion about different feature sets across account types. Engagement: Increases client engagement and transparency in multi-person therapy. Autonomy: Allows clients to take ownership of scheduling and billing visibility. Compliance: Aligns with modern consent and transparency practices in couples and family work. Usability: Reduces friction for therapists managing multiple family members on one contract.

Provider notification when a client submits a form

It would be helpful if providers received a notification when a client submits a form through the Client Portal. Right now, completed forms only appear in the client’s profile under the Forms tab, so providers must manually check for new submissions and we don’t know the forms have been submitted until we look in the client’s chart. A notification (in‑app alert, or push would be the best options since I don’t want to have to look at email to get the message) when a form is submitted would help providers review responses sooner and reduce the need to manually check client charts. The notification should have a link in it that would open the form if clicked on.

Auto-send welcome/activation email to newly added clients

When a new client is added to Upheal, there's no automatic notification sent to them. They have no way of knowing they have an account to log into or how to access the client portal. This creates confusion and a gap in the onboarding experience. It would be helpful to automatically send a welcome email to new clients that includes: Confirmation that their account has been created Instructions on how to log in or access the portal A link to download the mobile app Any relevant practice policies or expectations This would streamline onboarding and ensure clients know they have portal access without the therapist having to manually notify them.

Clarify Timezone Display for Client Reminders

It's unclear whether automated appointment reminders show the session time in the client's local timezone or the provider's timezone, which matters for providers working across different time zones. Suggested fix: explicitly document (or display in the reminder preview) which timezone is used, and ideally auto-detect and display in the client's local timezone.

💬 Secure Team Messaging for Group Practices

We're scoping secure messaging between members of your practice, so clinicians, supervisors, and admin staff can communicate inside Upheal instead of scattering client-related conversations across email and text. The part that makes this different from a generic chat tool: conversations can be linked to a specific client's chart. Ask a supervisor about a case, hand off a scheduling question to your admin, or discuss a note that needs attention, with the context attached and the PHI staying inside the platform where it belongs. This is in early scoping as part of our broader group practice work on roles and permissions. If team messaging would change how your practice runs, votes and comments here genuinely shape when we build it. Two notes on this one: keep the original post's author engaged with a reply when you convert it, since their write-up (client-linked threads, supervision context) was unusually well thought out. And "scoping" is deliberate language, it signals Backlog honesty rather than a commitment, consistent with the over-promising problem we fixed elsewhere.

Capture collateral contact/case management calls to document them?

Is there a way we can have phone calls captured when calling and talking with things involving case management like cps, courts, family, etc.?

When only using the capture live session (virtual)...

I love the feature that we can see previous sessions when using the upheal Telehealth platform but is there a way to make that happen when using just the capture live session when we are choosing which client we are capturing the session for?
