Appointment status options
Right now I am only seeing that we can make or delete session appointments. It would be very helpful and necessary to be able to mark sessions as late cancelations/no shows, rescheduled, or canceled, but so that they stay in the calendar with the adjusted status (maybe appointment is grayed out?). Related to that, being able to see the number of sessions, cancellations, etc in the client profile, to keep tabs on issuing fees, etc.

Appt cancellation tracking
When a client cancels an appointment, I would like for that to still be recorded in my calendar view along with notes for the cancellation reason, so that way I can easily look back and see when they canceled. Right now, when you cancel the appointment disappears as it had never been there. I have a cancellation policy and use this method to track!

Hi @Jennifer Rodriguez, thanks for your feedback!
We are currently working on solutions for both of the points.
1. We will add support for appointment statuses (Show, No Show, Provider Canceled, etc.) - we will also introduce some automations based on these statuses
2. We will enable scheduling events (which is basically a non-client appointment to meet with supervisors, colleagues, or anyone else). Below is also an exploration of inviting someone as a guest when the email entered is not associated with any existing clients.
If you have any other feedback or requests, please let us know!

Documenting cancellations and no-shows
On the calendar there should be a way that when we hover over a specific session, there should be an option to change that session to either completed, no-show, or canceled, and then taken directly to the billing page for easy documentation about what happened in that session

You’re absolutely right! This is an important gap. We’re actively working on it, and the ability to mark sessions as completed, no-show, or canceled (with quick access to billing documentation) will be released very soon after insurance billing exits closed beta. We’ll share an update here as soon as it’s live.

Mark Appointments as No-Show Directly on the Calendar
There's no built-in way to mark a missed appointment as a no-show directly on the calendar event; the only record lives in the chart note, so the calendar itself doesn't visually reflect no-shows. Suggested fix: add a "No-Show" status option on calendar events themselves (similar to Cancelled), which could also auto-link to the no-show chart note for a unified record.

it would also be helpful if the no show appointment could be color coded to red.

I see Peter already commented on what is planned here, all of that looks good. One thing SimplePractice does is allow you to include a “memo” on each appointment, which is very helpful for brief notes to myself about that single appointment that would otherwise get lost in the patient chart.
One thing that SP doesn’t do, is show the memo on the calendar view itself, which would be even better.
Thanks!

This is essential and ridiculous that it is taking so long to have this feature that is standard in every other EHR. Please fix this IMMEDIATELY

URENT REQUEST: Feature Request: Automatic Cancellation Fee Logic for Self-Scheduled Appointments
Problem: When clients cancel appointments through self-scheduling, I have no way to know when they cancelled relative to my company's cancellation policy (48 hours notice required). Without timestamps and automatic notifications, I cannot enforce my cancellation fee policy, and I have to manually track and invoice clients — which is time-consuming and inconsistent.
Request: Add built-in cancellation fee logic that:
Automatically detects when a client cancels an appointment through self-scheduling
Compares the cancellation time to a configurable cancellation policy window (e.g., "charges apply if cancelled within 48 hours")
Auto-generates an invoice for the cancellation fee if the cancellation falls within that window
Notifies me of the cancellation with a timestamp so I'm aware it happened
Ideal Setup: In Settings > Services, allow me to configure:
Cancellation policy threshold (e.g., "48 hours notice required")
Cancellation fee amount (e.g., full session charge, or a custom amount)
Whether to auto-invoice or flag for manual review
Benefit: This would allow me to enforce my cancellation policy consistently without manual tracking, protect my revenue, and keep the self-scheduling process fair and transparent for clients who understand the terms upfront.
